GreenMind LLC, doing business as GreenMind Health (“GreenMind,” “we,” “us”), is a functional nutrition practice in Richmond, Virginia. This policy explains what we collect when you use greenmindhealth.com, take our Signal Check quiz, join our email list, message us on Instagram, or book a free call, and what we do with it. If you become a client, the care we provide is also covered by the Notice of Privacy Practices you receive in our client hub.

What we collect

• What you give us: your name, email, phone number, the answers you give in our quiz and forms, booking details, and the messages you send us.

• What your browser sends automatically: your device and browser type, the pages you visit, how you arrived at our site, and similar details collected through cookies and similar tools.

• Purchases: our payment processors handle card details. We do not store full card numbers.

Health information

Some of what you share with us can be about your health, for example your quiz answers, the symptoms you mention when booking a call, or a message about what you are working on. We use it only to respond to you, send you what you asked for, and tell you about our services. We never sell it, and we do not send your quiz or form answers to advertising platforms. Health information you share may be stored and shared electronically with the service providers listed below so we can provide our services.

How we use information

• To answer your questions, book your call, and send the guides or emails you asked for.

• To understand how people use our site and to improve it.

• To measure and improve our advertising.

• To meet our legal obligations.

Cookies, analytics and advertising tools

We use Google Analytics and Google Tag Manager to understand how our site is used, and the Meta Pixel (Facebook and Instagram) to measure and improve our ads. These tools record things like which pages you visit and whether you completed a form or our quiz, and Google and Meta may connect that to your account with them. They do not receive your quiz answers or the content of your forms. You can block or clear cookies in your browser settings, use Google’s Analytics opt-out browser add-on, and manage ad preferences in your Meta and Google account settings.

Email, Instagram messages and texts

• We send email through Flodesk. Every email has an unsubscribe link.

• When you comment or message us on Instagram, our messaging tool (ManyChat) may collect your name and the email you give us so we can send what you asked for.

• We text you only if you opt in, and you can reply STOP at any time.

Who we share information with

We share information only with the service providers that help us run GreenMind (website hosting, email, scheduling, payments, analytics, advertising measurement, and our client tools), when the law requires it, or as part of a sale or merger of our business. We do not sell your personal information.

Artificial intelligence

We do not use your personal information to train artificial intelligence models.

Your choices and rights

You can ask us to show you, correct, or delete the personal information we hold about you, and you can unsubscribe from our emails at any time. Email hello@greenmindhealth.com and we will respond within 45 days. We honor these requests unless the law requires us to keep the information, for example client care records, which we keep for at least 7 years after the last visit. If you are a client, your care records, including clinical notes, are covered by the Notice of Privacy Practices in our client hub, not by this policy. Some states, including Washington, Nevada, Connecticut and California, give their residents specific rights over their information, including consumer health data. We honor these requests for everyone.

Consumer health data (Washington and Nevada residents)

We collect consumer health data (such as quiz answers or the health concerns you share when booking) only to provide what you ask for. We share it only with the service providers described above, and we never sell it. To see, delete, or withdraw consent for your consumer health data, email hello@greenmindhealth.com.

Children

Our website is not directed to children under 13, and we do not knowingly collect their information online. Care for children is arranged by a parent or guardian.

Keeping information safe

We use reasonable safeguards to protect your information. No system is perfectly secure, and if a breach affects your information we will notify you as the law requires.

How long we keep information

We keep website and email information for as long as we need it for the purposes above, or until you ask us to delete it or unsubscribe. Client records are kept as described in our client Notice of Privacy Practices.

Changes to this policy

When we change this policy, we will post the new version here with a new “Last updated” date.
